Oh What a Fabulous Day (month-of coordination)

At Eventful Planning, we strongly believe that couples should not have to work or be stressed-out on their wedding day! Our month-of coordination services (also known as day-of services) are perfect for you if you are planning all the details of your fabulous wedding, start to finish, and simply want a trusted wedding professional to coordinate & manage the day so that you can relax and enjoy it.

Don’t let the description fool you, month-of actually starts at least two months in advance. This allows us to completely understand the intricacies of your big day, review what you’ve completed & what’s left to be done. We make sure we know and understand every detail so when the day comes, you can completely enjoy your unforgettable event.

What all is included?

Initial Planning Meeting: Depending on where you are in the planning cycle, this meeting could be to get you started on the right path or to review the details of what you have planned for your magnificent wedding day. For those couples just starting their planning journey, we also set-up an Aisle Planner account for you to use for all your planning needs.

Venue Site Tour: We tour the ceremony and reception sites so that we can understand your expectations and prepare the site plans, room set-up diagrams and a production schedule for the day.

Review Vendor Agreements: We review the terms and conditions of these agreement so we understand all the policies, deadlines and penalties. We also want to make sure we fully understand what has been agreed to and committed for your wedding day.

Vendor Relationships: We reach out to all your vendors to review the terms and confirm arrival/setup/strike times. We also provide them with a copy of the production schedule and site map in advance of the wedding.

Final Walkthrough: With two weeks to go before your wedding day we schedule the final walkthrough to make sure we have captured any and every last detail and expectation.

Décor Management: We collect any décor and wedding day items you have in your possession and keep them with us until the wedding day. This allows us to make inventory of the items and make sure nothing is missing or forgotten.

Timeline: We prepare, maintain and distribute the timeline to your wedding party and family.

Rehearsal Management: We work with your officiant to assist with your rehearsal to ensure smooth timing on the wedding day and everyone knows the flow and their roles.

Wedding Day Management: We are on-site from setup to tear down and manage everything in between including:

  • Ceremony & reception set-up
  • Vendor arrivals & management
  • Direction & guidance of the bridal party throughout the day
  • General coordination & oversight of the ceremony including reserved seating, flow & timing, processional & recessional etc.
  • Transition from the ceremony to the cocktail hour/reception
  • General coordination & oversight of the reception including grand entrance, toasts & speeches, cake cutting, dances, bouquet toss etc.
  • Distribution of vendor final payments
  • Complete teardown and clean-up too!

Assistant: A professional assistant is onside to assist throughout your wedding day, from start to finish as required. These circumstances may include:

  • Your guest count is over 150 guests
  • The venue does not provide assistance with set-up or teardown
  • The ceremony and reception are at different venues

Wedding Day Emergency Kit: We provide use of this kit in case of any little emergency; from first aid equipment, to hygiene and beauty products, fasteners, stain fighting solutions and more.
